Terms of Service
These terms govern your use of PitMate as a business. Last updated: June 2026.
These terms apply to motor garages and other businesses ("you", "the Subscriber") that sign up to use the PitMate platform. They form a binding agreement between you and RedBox (Ireland), the company that operates PitMate.
1. The Service
PitMate is a cloud-based booking and job management platform provided by RedBox, operating at pitmate.ie. It gives subscribing garages an online booking portal, admin dashboard, customer notification tools, job records, invoicing, and related features as described on the website.
We reserve the right to add, change, or withdraw features at any time. Where a change materially reduces the service, we will give at least 30 days' notice by email.
2. Subscription & Payment
- PitMate is offered on monthly plans — Starter, Standard, and Enterprise. Current pricing is displayed at pitmate.ie.
- There are no setup fees and no minimum contract length. You can cancel at any time.
- Payment is due monthly in advance. Failure to pay may result in suspension of your account after reasonable notice.
- Prices may change with 30 days' written notice. Continued use after the notice period constitutes acceptance.
3. Your Account
- You are responsible for keeping your login credentials secure. Do not share passwords.
- You must ensure anyone accessing PitMate under your account complies with these terms.
- You must provide accurate information when setting up your account and keep it up to date.
- Accounts may only be used for lawful purposes in connection with running your business.
4. Acceptable Use
You agree not to:
- Use PitMate to send unsolicited marketing messages or spam
- Attempt to access other subscribers' data or systems
- Reverse-engineer, copy, or resell any part of the platform
- Upload or transmit any malicious code, viruses, or harmful content
- Use the platform in a way that could damage, overload, or impair it
5. Data Processing (GDPR)
PitMate processes personal data belonging to your customers (names, email addresses, phone numbers, vehicle registrations) on your behalf. Under data protection law:
- You are the Data Controller — you determine why your customers' data is collected and how it is used.
- RedBox is the Data Processor — we process that data only as instructed by you, through the PitMate platform.
By using PitMate you agree to the terms of our Data Processing Agreement, which forms part of these Terms of Service. Key points:
- We process customer data only to provide the booked services and features of PitMate.
- We implement appropriate technical and organisational security measures to protect personal data.
- We will notify you without undue delay if we become aware of a personal data breach affecting your customers' data.
- On termination of your account, customer data is deleted within 90 days, unless retention is required by law.
- You are responsible for ensuring you have a lawful basis (e.g. contract, consent) for collecting and processing your customers' data via PitMate.
- You are responsible for responding to your customers' data subject rights requests (access, erasure, etc.). PitMate's Customers panel (Enterprise plan) provides tools to assist with this.
6. Sub-Processors
We use the following third-party sub-processors to deliver the service. By accepting these terms you authorise their use:
- Neon (neon.tech) — PostgreSQL database hosting, located in the EU.
- Heroku / Salesforce — application hosting, located in the EU.
- Twilio (twilio.com) — SMS and WhatsApp notifications. Twilio is based in the United States; transfers are covered by Standard Contractual Clauses (SCCs) under GDPR Article 46.
- SMTP email provider — transactional email delivery (booking confirmations, reminders, invoices).
- Cloudflare — CAPTCHA (Turnstile) on the public booking form, for fraud prevention.
7. Intellectual Property
- PitMate and all related software, designs, and trademarks are owned by RedBox. These terms do not transfer any ownership to you.
- Your business data (customer records, bookings, invoices) belongs to you. We do not claim ownership over it.
- You grant us a limited licence to process your data solely to provide the service.
8. Uptime & Support
We aim for high availability but do not guarantee any specific uptime. We will carry out maintenance with reasonable notice where possible. Support is available by email at rob@redbox.ie.
9. Limitation of Liability
To the maximum extent permitted by law:
- PitMate is provided "as is". We do not warrant that it will be uninterrupted, error-free, or meet all your specific requirements.
- We are not liable for any indirect, consequential, or economic losses arising from your use of PitMate, including lost revenue, lost bookings, or reputational damage.
- Our total liability to you in any 12-month period shall not exceed the total subscription fees you have paid in that period.
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited under Irish law.
10. Termination
- By you: Cancel at any time by contacting us at rob@redbox.ie. Your account remains active until the end of the current billing period.
- By us: We may suspend or terminate your account immediately if you breach these terms, fail to pay after notice, or use PitMate for illegal purposes.
- On termination, your access to PitMate and all associated data will be removed within 90 days. We recommend exporting your data before cancelling.
11. Governing Law
These terms are governed by the laws of the Republic of Ireland. Any disputes shall be subject to the exclusive jurisdiction of the Irish courts.
12. Changes to These Terms
We may update these terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of PitMate after that date constitutes acceptance of the updated terms.
